The collection is divided into six series: Series I: Guest Books/Visitors' Register; Series II: Financial Records; Series III: Minutes; Series IV: Sound Recordings; Series V: History, Legal Documents, Publications; Series VI: Scrapbooks.
The ten guest books, March 1917-1987, contain names, addresses and sometimes comments of their visitors (male and female) to various events like Christmas parties, officer installations, benefit card parties, club anniversary celebrations for 25, 50, and 75 years, various programs for the art, domestic science, literature and civics departments. One guest book for October 22, 1954 was for a special celebration for a longtime member, Addie Brannen, "Queen Addie." Guest lists are also found in the art department scrapbooks.
The Financial Records series contains subseries for Account Books and Reports and Donations. The account books, also called treasurer's reports, cover 1912-May 1987. Some items besides normal accounting information found in the account books are a membership list in front of the volume for 1912-March 1918, a letter regarding the Club's loan for their club house (June 1939-June 1945), and a statement of employer form (1942-March 1945). Subseries Reports and Donations was added to this series in Sept. 2012. It consists of monthly and annual financial reports, proposed budgets and donation acknowledgments.
The Minute Books,also known as secretary books, which are records of minutes of the executive board, special meetings and business meetings of the Woman's Club of Albuquerque. There are minute books for the general club (October 1903-January 1997) and for the writers department (scattered years). The first general club minute book contains a list of the charter members as well as the Club's constitution and bylaws. January 1943-April 1949 documents the Club's war efforts, and includes a typed annual report of activities of the Club for April 1945-1946. On October 10, 1953 the Club celebrated its Golden Jubilee and the program is documented in the May 1949-November 1954 minute book. The later minute books, early 1970's on, contains monthly financial reports.
Sound recordings are of the national convention of the Federated Women's Clubs. June 2-5, 1959, "Report from Convention - 1959," Los Angeles, California; and June 13-17, 1960, "Report from Convention - 1960," Washington, D.C. Included is a printed index of the contents of the recordings. For the 1960 convention some of the speakers listed are Mrs. Franklin D. Roosevelt, Senator Margaret Chase Smith, Senator Eugene McCarthy, and Shirley Temple Black. The original recordings are on phonograph disks, which have been copied to audiocassette for patron use.
The series Histories, Legal Documents and Publications contains histories written for the 50th, 75th, 90th, etc. anniversary of the Club, correspondence, clippings, deeds, information on the Old and New Club Houses, and various local, state and national Women's Clubs publications including The Women's Club, which was published in Albuquerque. There are membership applications grouped by decade, 1920's-1990's, then by year. Membership forms contain an option for the applicant to request to be involved in a particular department of study such as writing, recreation, art, music, literature, etc. The application gives the name and address of the applicants and names of their endorsers. They sometimes give the birthday and death date of the applicant. Material added to this series in September 2012 includes administrative reports and correspondence, newsletters, yearbooks, and property records.
The scrapbooks are divided into seven subseries: Albuquerque Junior Womans Club, Art Department, Community Improvement Program, Country Studies, General, Golden Jubilee Federation of Women's Clubs, and Memorial Book. The scrapbooks give a review of Club activities by including clippings, programs, photographs, invitations, correspondence, ribbons, and convention programs. The Art Department scrapbooks also include watercolors, color pencil, and pen and ink drawings done by members, photographs of art instructors, such as J. R. Willis, Club members and their art work. The Country Studies scrapbook contains clippings on South Africa, Namibia. In the book of memories, member names are arranged alphabetically giving years of membership in the Club and occasionally including newspaper obituary clippings.
